Front Office Receptionist (Seasonal) - Chicagoland Speedway & Route 66 Raceway (Joliet, IL)

Position Purpose

The Front Office Receptionist will gain valuable experience and knowledge of the inner workings of a ticket office as being the first person our staff and customers see and contact in our office.  Will have direct interaction with our fans and customers on a daily basis.  Additionally this person will gain valuable experience of the inner workings of the sports and motorsports industries, while working in a high energy and fast-paced environment during the racing season at Chicagoland Speedway & Route 66 Raceway.

Job Responsibilities

  • Answer and route all incoming phone calls to the main front office line
  • Screen all calls, and take detailed messages when necessary
  • Communicate routine information regarding events, operations, policies & procedures to inquiring parties
  • Maintain a safe, organized & clean reception area on a daily basis
  • Process and ship any outgoing mailings, while distributing and delivering all incoming mail
  • Have direct contact with our fans through helping answer event related questions and process any ticket sales either through walk-in customers or over the phone
  • Assist the ticketing department with customer inquiries, ticket mailings, event support and customer service issues
  • Assist with other duties assigned by the Director of Ticketing / Executive Assistant

Qualifications

  • Attention to detail and excellent customer service skills are required
  • Knowledge of the racing world a plus
  • Comfort to work in a fast paced and high energy environment
  • The ability to respond quickly, calmly, and professionally to customer-related problems and emergencies
  • Demonstrated knowledge of basic computer skills, including Microsoft Office
  • Bachelor’s degree preferred, but not required

Administration/General Management: Administrative/Executive Assistant
Coordinator, Guest Services & Staffing - Homestead-Miami Speedway (Homestead, FL)

Homestead-Miami Speedway is looking for a talented professional to join our Operations Department in the position of Coordinator, Guest Services based in Homestead, Florida. The Coordinator, Guest Services will provide administrative and business support by performing the following duties.

Responsibilities include, but are not limited to the following:

ADMINISTRATIVE

• Learn payroll system (ABI)/process payroll for hourly employees (full-time, temp/seasonal for Operations/Security/Guest Services)

• Coordinate/manage all regulatory trainings
• Manage regulatory documentation (OSHA logs/training forms, elevator permits, industrial waste permits, etc.)
• Main relief support for receptionist/switchboard (daily breaks & lunch, vacations, etc.)
• Process department’s new hire paperwork & internal status requests

• Coordinate/process department’s IT requests for new or current employees (ex. computers, email access, office/cell phones, etc.)

GUEST SERVICES
Non-event days:
• Coordinate the hiring volunteers/civic groups for events
• Prepare and process all service agreements, insurance and check requests
• Schedule event training days for volunteers and civic groups
• Develop the training program and prepare training manuals/materials to be distributed
• Lead pre-event trainings with volunteer, civic groups, etc.  

Event day duties:
• Coordinate volunteers/civic groups check-in on event days, issuing uniforms and credentials
• Prepare and distribute event information to all volunteers/civic groups
• Assist with guest issues and complaints
• Interact with guests to understand their outlook on the events and relay information to management
• Interact with event day staff, assist them with their tasks, learn from their experience, and work with management to increase event volunteers/civic groups satisfaction

  
Qualifications include the following:

The successful candidate will be creative, a self-starter, highly motivated, organized and a team player with attention to detail and demonstrate ability to multi-task. Candidate is expected to bring a positive attitude to the workplace, to be cheerful, engaging, cooperative and productive, and to perform additional duties as required for the efficient operations of the Speedway.

  • High school diploma and three to five years of guest services/customer service experience. Some college preferred.
  • Strong internal/external communication and customer relations skills including written and verbal, ability to present information clearly and concisely.
  • Projects a professional company image though verbal and/or written communication. Presents self in a professional manner and have ability to interact with all levels of organization internal and external.
  • Maintains and projects a positive, productive, helpful and friendly attitude at all times.

SUMMARY

Administration/General Management: Administrative/Executive Assistant
Business Development and Operations Assistant - Michigan International Speedway (Brooklyn, MI)

Summary

Michigan International Speedway is seeking a Business Development/Operations Assistant to join our Team. This position is responsible for developing and executing project based activities with our Vice President of Operations, Director of Business Development and Director of Operations. Communication, coordination, and planning with other relevant departments and stakeholders to ensure successful event implementation and execution will be the daily objective.

Key Duties and Responsibilities include the following but are not limited to the activities below:

  1. Assist in planning and coordinating all Non-NASCAR events. 

    • Identifies and helps research potential events and “add on” sales opportunities as it relates to projects

    • Ensures project documents are complete and current, i.e. contracts, insurance, menus, etc.

    • Coordinates and tracks expenses as it pertains to project activities, i.e. working with appointed Director and Accounting to manage and plan accordingly with financial outcomes

    • Coordinates and identifies resources as needed with multiple departments and clients

  2. Assist Operations department with event staff scheduling and service groups:

    • Coordinate with department Directors to ensure invoices are properly coded and submitted accordingly into WebNow.

    • Draft service agreement contracts for the Operations Department service groups and vendors annually or per event.  Receive and record signed service agreements and ensure all requirements per the contract are met prior to the first event scheduled.

    • Certificates of Insurance - Work with service groups and vendors to make sure all insurance forms are submitted and up to date in Certfocus.

    • Make sure all events and facility rentals are built into ABI.  Assist department supervisors with scheduling staff accordingly per event.

  3. Provides administrative support for Vice President of Operations, Director of Business Development and Director of Operations including but not limited to:

    • Answering telephones

    • Coordinating Travel Arrangements

    • Preparing correspondence (Microsoft Word, PowerPoint and Excel) and complete filing

    • Schedule Appointment and  manage staff calendars (Microsoft Outlook)

    • Prepare presentations as required (Microsoft PowerPoint) for the various departments listed above

  4. Assists in other special projects as requested

Required Skills/experience

Bachelor’s degree from four-year University and or 5 years of related experience or training in Business Development/Administration or equivalent combination of education and experience. Must be proficient in Microsoft Word, Excel, and PowerPoint and able and willing to update technology skills as needed.

Ideal candidate is an organized, positive, self-motivator who excels in a team environment. Strong interpersonal skills are a must. Ability to work through and with cross functional teams to achieve goals is essential.

SUMMARY

Provide administrative and secretarial support to the President of Michigan International Speedway in a professional, confidential and effective manner. This Executive Assistant position requires advanced computer skills, project coordination experience and the ability to work professionally with all levels of internal management and staff, as well as external customers, business partners, etc. 

DUTIES AND RESPONSIBILITIES include the following:

  • General administrative support including answering phones and coordination of meetings

  • Manage Track President’s calendar and assist with meeting scheduled appointments

  • Create correspondence and presentations using Microsoft Word, Excel, PowerPoint and social networking tools

  • Coordinate and plan travel arrangements, and recommend the most cost-effective itineraries

  • Coordinate meetings and make arrangements for conferences, meetings and events, including catering as needed

  • Manage the President’s suite for special events, including invitations, RSVPs and catering

  • Manage hotel and motel room blocks for MIS staff

  • Assist with resolution of guest services issues

  • Assist Accounting with projects and activities as needed

  • Coding and reconciliation of department invoices

  • Self-starter, high attention to detail, and strong ethics

  • Assist with additional duties and task as assigned

QUALIFICATIONS

  • College degree is preferred, and at least three years related experience and/or training

  • Some accounting background is also ideal
  • Ability to work effectively to meet time-sensitive deadlines 
  • Highly motivated and willing to take on ad-hoc work at times 
  • Demonstrated team player with excellent organizational skills and ability to anticipate needs
  • Proficient with Microsoft Word, Excel, PowerPoint, Outlook and preferably SharePoint 
  •  Excellent verbal, written, and interpersonal skills with the ability to interact with clients, officers, and peers in a professional manner
  • Handle assignments with a high level of confidentiality and discretion 
  • Ability to prepare and edit presentations/documents accurately 
  • Good organizational skills and the ability to prioritize work flow. You should demonstrate flexibility to handle multiple tasks and unexpected work while working well under pressure and be comfortable in a fast pace environment 
  • Detail oriented and able to prioritize, multi-task and negotiate conflicting deadlines
  • Ability to work weekend and evening hours as needed
