Job Title:              Front Office Receptionist

Job Status:          Seasonal - April 2017 through October 2017

Reports To:         Director of Ticketing  / Executive Assistant

Position Purpose

The Front Office Receptionist will gain valuable experience and knowledge of the inner workings of the sports and motorsports industries, while working in a high energy and fast-paced environment during the racing season at Chicagoland Speedway & Route 66 Raceway.

Job Responsibilities

  • Answer and route all incoming phone calls to the main front office line

  • Screen all calls, and take detailed messages when necessary

  • Communicate routine information regarding events, operations, policies & procedures to inquiring parties

  • Maintain a safe, organized & clean reception area on a daily basis

  • Process and ship any outgoing mailings, while distributing and delivering all incoming mail

  • Assist with other duties assigned by the Director of Ticketing / Executive Assistant

Qualifications

  • Attention to detail and excellent customer service skills are required

  • Knowledge of the racing world a plus

  • Comfort to work in a fast paced and high energy environment

  • The ability to respond quickly, calmly, and professionally to customer-related problems and emergencies

  • Demonstrated knowledge of basic computer skills, including Microsoft Office

  • Bachelor’s degree preferred, but not required

Work Requirements

Administration/General Management: Administrative/Executive Assistant
Business Development Assistant- Seasonal May through October - Michigan International Speedway (Brooklyn, MI)

Summary

Michigan International Speedway is seeking a Business Development Assistant – Seasonal to join our Team. This position is responsible for developing and executing project based activities with our Director of Business Development. Communication, coordination, and planning with other relevant departments and stakeholders to ensure successful event implementation and execution will be the daily objective.


Essential Duties and Responsibilities include the following but are not limited to the activities below:

  1. Assist in planning and coordinating the Facility Rentals.

    • Identifies business development and “add on” sales opportunities as it relates to projects and are approved by director

    • Ensures project documents are complete and current, i.e. contracts, insurance, menus, etc.

    • Coordinates and tracks expenses as it pertains to project activities, i.e. working with the Director of Accounting to manage and plan accordingly with financial outcomes

    • Coordinates and identifies resources as needed with multiple departments and clients

    • Facilitate communication between facility, operations, business development as it pertains to business development

  2. Provides administrative support for Director of Business Development including but not limited to:

    • Answering telephones

    • Preparing correspondence (Microsoft Word, PowerPoint and Excel) and complete filing

    • Schedule Appointment and  manage staff calendars (Microsoft Outlook)

    • Prepare presentations as required (Microsoft PowerPoint) for the various departments listed above

    • Maintain office equipment and supplies for the department

    • Facility client and perspective client meetings and visits

      3 . Assists in other special projects as requested
 

Required Skills/experience

Pursuing or have a Bachelor’s degree from four-year University and or 5 years of related experience or training in Business Development/Administration or equivalent combination of education and experience. Must be proficient in Microsoft Word, Excel, and PowerPoint and able and willing to update technology skills as needed.

Ideal candidate is an organized, positive, self-motivator who excels in a team environment. Strong interpersonal skills are a must. Ability to work through and with cross functional teams to achieve goals is essential.
