Communications Assistant – Seasonal - Chicagoland Speedway & Route 66 Raceway (Joliet, IL)






Position Purpose
During this five month seasonal position, the Communications Assistant will gain valuable experience and knowledge about public and community relations, live events and the motorsports industry while supporting the Communications and Consumer Marketing team.

Job Responsibilities

  • In-Office Responsibilities:

    • Lead and develop community outreach initiatives

    • Organize and oversee donation requests    

    • Search the web thoroughly for CLS and Route 66 coverage

    • Track media clips with detailed excel document using Vocus

    • Update the approved media credential list

    • Write dynamic and informative press releases

    • Create media distribution lists

    • Assist with year-end recaps and event comparisons/breakdowns

  • On-Site Event Responsibilities:

    • Search the web and local newspapers for articles

    • Assist media with questions and/or inquiries

    • Assist with setting up interviews

    • Track media on-site and interviews throughout the week

    • Keep all results/ standings/ releases organized and accessible for media

    • Keep liability and photography waivers organized

    • Manage and supervise 50/50 Raffle

    • Other Marketing Assignments as assigned

    • If successful in executing the above responsibilities and demonstrates a knowledge of the company, events and working with media, will have the opportunity to pitch local media around the NASCAR and NHRA sanctioned events.

Qualifications

  • Works well in a team environment
  • Excellent interpersonal and communication skills – verbal, written, presentation, organizational and follow-up skills
  • The ability to respond quickly, calmly and professionally to event-related problems and emergencies
  • Enthusiastic about marketing and the sports industry
  • An understanding of Microsoft Office Applications
  • Ability to perform designated tasks efficiently and thoroughly
  • Strong organizational skills, self-motivated and understands the nature of PR
  • Keen understanding of social media
  • Pursuing a B.A. degree within Communications, Public Relations or Journalism

Work Requirements

Communications: Media/Public Relations Servicing
Social Media Coordinator - Kansas Speedway (Kansas City, KS)

SPECIFIC DUTIES:

  • Responsible for all social networking – Facebook, Twitter, You Tube, Instagram, and others.
    • Develop opportunities to market to fans via social avenues
    • Track ROI for all opportunities
    • Make sure all partner contractual obligations are met
    • Recommend new avenues for social networking and stay current on trends, changes in space
    • Monitor platforms
    • Serve as community manager for all platforms
    • Create monthly, yearly and race specific reports of social networking campaigns
  • Implement a calendar tracking all social networking, ensuring it aligns with KSC’s overall marketing calendar
  • Liaise with internal stakeholders for social networking messaging
  • Liaise with sister tracks to ensure best practices are being used, along with assisting in promotion of sister tracks
  • Liaise with Social Media Agency
  • Assist with lead generation through technology driven initiatives

  • Work with internal systems to ensure appropriate messaging is being relayed to fans

  • Assist with media events

  • Work race events at Kansas Speedway assisting with public relations related activities

  • Extended weekday and weekend hours to assist with social media efforts, public relations event and consumer marketing/ticket sales events

  • Assist Digital Content Editor with website and mobile app updates

  • Assist with weekly media notes, along with additional writing opportunities as assigned by the Director of Public Relations

  • Other duties as assigned by Director of Public Relations

QUALIFICATIONS:

 

  • 1-2 years of experience in public relations, social media or consumer marketing role, preferably with a sports team or facility.
  • Bachelor’s degree in Marketing, Communications or related field.
  • Strong written and verbal communication skills with an emphasis on analysis and reporting, and the ability to effectively present information.
  • Experience managing projects through the creative process.
  • Innovative thinker with a high integrity and confidentiality.
  • Self-starter, dependable, strong people skills.
  • Enthusiasm for and commitment to the company, Vision, Mission and Values.

Communications Coordinator - Phoenix International Raceway (Avondale, AZ)

Position Purpose

The Communications Coordinator will implement and help manage specific projects related to the successful execution of Phoenix International Raceway communications and outreach, securing high volume placement, and identifying opportunities. The Coordinator will also assist in developing successful short-and long-term communications strategies.

The role requires strong interpersonal skills and excellent verbal and written communication skills.

Supervisory Responsibilities

  • Management of temporary seasonal media center personnel

Responsibilities/Duties/Functions/Tasks

  • Creating and implementing strategic and integrated communications plans using a wide range  of communications tactics to support programmatic and organizational efforts

  • Conceptualizing compelling story ideas and drafting well-researched story pitches that result in media placements

  • Drafting, editing and disseminating communications materials such as press releases, media/photo advisories, website and other materials as required

  • Building and maintaining strong working relationships with local and national media, as well as fellow communications professionals within the motorsports community

  • Arranging, participating, and covering radio, print, online and television interviews/appearances as required

  • Working with Senior Manager of Communications to manage all media credentials application approvals and processes

  • Coordinating specific public relations tasks and/or events with other departments and managing the implementation of these projects as necessary

  • Ability to plan and execute event coordination with multiple internal and external stakeholders

  • Managing all media center logistics, processes and staff for all event weekends

  • Developing strong relationships with other NASCAR tracks. Serving as liaison and point of contact for track relationships.

  • Managing proactive and ongoing NASCAR/ISC industry relationships.

  • Working with Senior Manager of Communications and Consumer Marketing department to develop and implement creative and engaging digital communication plans

  • Media guide and souvenir program production.

  • Other duties as assigned.

Performance Measures

Generate incremental increases in media exposure through increased number of live TV news hits and local print media coverage during race weekend.

Work across the organization to create measurable goals for promotional events (i.e. driver appearances, press conferences) and identify strategies to meet and exceed those goals.

Qualifications

BA/BS, Communications or related; 1-3 years of communications/public relations experience

Proficient in Microsoft Office Suite
