Director of Accounting - Chicagoland Speedway & Route 66 Raceway (Joliet, IL)

SUMMARY:  Director of Accounting is primarily responsible for preparation, review and communication of the business unit’s financial statements and controls, as well as, participating in the development and execution of the business unit’s strategic initiatives.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  1. Prepare, review and ensure timely and accurate financial statements and supporting schedules, documentation and reconciliations required for monthly/quarterly/yearly close. 

  2. Ensure compliance with external reporting standards (GAAP) and internal policies and procedures, including documentation, review and testing of Sarbanes-Oxley 404 controls.

  3. Coordinate the preparation and review of financial planning, including monthly forecasts and annual budgets, with track president and department leaders, utilizing all available systems and personnel resources.  Provide financial leadership and guidance to department leaders to assist in developing and preparing financial plans.

  4. Effectively communicate and report results of operations, financial forecasts and operating plans to track president and corporate finance, including discussion of variance analysis and cause of change schedules.

  5. Prepare financial analysis of business unit strategic initiatives, including calculating and presenting return analysis for capital requests and measuring performance toward operating objectives.

  6. Manage cash operations during events.  This includes managing the distribution of cash to appropriate personnel, safely and securely collecting cash throughout the event, supervising the counting and recording of cash, arranging for deposits and coordinating ATM machines for the guests.  This position must ensure controls are in place minimize risk of loss and maintain a high level of security around the cash operations function.

  7. Preparation and timely filing of applicable tax responsibilities, including state sales and local spectator taxes.

  8. Actively participate in all parts of the strategic planning process, including assisting in creating, submitting, and executing future strategic plan.

  9. Oversee payroll operations at the facility, including management of the payroll system.  Maintain knowledge of Illinois regulations to assist Corporate Human Resources in proper implementation and execution.

  10. Provide support for areas of the business that integrate with accounting functions, including the ticketing and sales system.

  11. Provide local support and guidance for the corporate responsibilities of accounts payable, accounts receivable and personnel management.

  12. Maintain relationships within the community to effectively assist in business operations (i.e., school districts, taxing bodies, municipalities).

  13. Additional responsibilities may be added to support track president as appropriate.

    SUPERVISORY RESPONSIBILITIES

    Manage one employee in the Administration (Accounting) function.  Responsible for the overall direction, coordination, and evaluation of this unit.  Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

     

    EDUCATION and/or EXPERIENCE

    Degree in Accounting from an accredited university with at least five years related experience.  Must demonstrate a clear understanding and application of generally accepted accounting principles (GAAP).  Supervisory experience and experience with publicly traded companies is a plus.

    CERTIFICATES, LICENSES, REGISTRATIONS

    Certified Public Accountant (C.P.A.) and/or Certified Management Accountant, preferred

Position Purpose

The primary responsibilities of this position will be to oversee the sales, service, and operations of Chicagoland Speedway & Route 66 Raceway’s ticketing department, including event tickets, hospitality, group sales, and corporate RV areas across the entire season of events scheduled at both properties. In addition, this position will lead a team of ticketing and hospitality sales and ticket operations associates

Responsibilities/Duties/Functions/Tasks

The Director of Ticketing will be responsible for leading the strategy to grow ticket and hospitality revenue through prospecting (networking and cold-calling), presenting, and closing new and renewal ticket/hospitality sales:

o Prospecting: Identify and research new ticketing and hospitality opportunities and ticket sales channels. Contact decision makers within each organization

o Presenting: Create compelling opportunities to engage prospective customers and lead new business/renewal pitches to prospective partners during meetings, potentially in a Boardroom setting, and/or during telephone calls.

o Closing: Negotiate and finalize hospitality agreements that maximize revenue for the Speedway and Raceway

? Assist in new business development efforts by pitching and securing facility rentals for motorsports, or non-motorsports, related entertainment events, working closely with the Operations & Event Planning teams

? Comply with company wide CRM tool for revenue reporting purposes. Meet or exceed weekly/month/yearly corporate ticketing revenue and admission goals and group sales prospecting goals

? Maintain high level of customer service to existing and new customers

? Active participation in regional civic, social, and industry events

? Involvement in renewal process and growth of existing accounts, including targeted outbound campaigns, promotions, and ticket purchaser events

? Develop new and innovative premium hospitality platforms, assisting in the advancement of sales efforts

? Responsible for the development, implementation and growth of the ticket sales and operations department

? Responsible for the recruitment and training of the sales executives for the department

? Design, implement and execute the overall ticket sales plan and other various ticket sales plans and initiatives

? Develop and oversee aggressive outbound call strategy and capitalize on the ISC Contact Center resources available to the BU

? Manage sales interns to generate ancillary ticket revenue and assist in the running of the ticket sales department

? Manage the Ticket Sales Department budget

? Proactively communicate to BU Leadership team real-time fan feedback, ticket sales trends, and recommendations on how to proceed and improve to meet business goals.

? Develop creative programs to target specific community and business organizations for season ticket and group ticket sales

? Work with colleagues from other departments within the organization to ensure that all possible revenue is generated across the various platforms

? Manage the creation of all ticket sales printed pieces

? Strategic planning of long?term ticket sales programs and initiatives

? Remain aware of trends in the industry and marketplace and lead the Business Unit on new initiatives in the ticketing/ticket sales space

? Develop a research plan to measure and monitor ticket buyer opinions

? Ensure a high level of customer service pre, during, and post race and events

? Hire temporary event staffing and oversee box office operations team

?

? Represent the team at various community events, such as festivals, sporting events, etc. with the responsibility of informing the community about the track and the various events held at the track, and marketing ticket sales packages and promotions

? Perform other duties and responsibilities as assigned

Qualifications

? 4-year college degree from accredited College or University

? 8+ years of property, team, media, and/or sports/entertainment sales and/or ticket operations experience

Position Purpose

The Facility Administrative Coordinator position will develop, implement, and maintain administrative systems, and perform key accounting functions, for the Facility Operations departments, while working in the high energy and fast-paced environment at Chicagoland Speedway and Route 66 Raceway.

Job Responsibilities

  • Responsible for managing the Web Now process for the respective departments, including scanning and coding invoices, investigating differences and following up with discrepancies. 

  • Maintain an expense tracking system to “fill the gap” between the most recent income statement and current incurred expenses to enhance reporting of monthly accruals and financial forecasting.  Submit accruals timely to Accounting and assist department manager with forecasting changes.

  • Manage new hire process for the departments by collecting proper forms and ensuring they are completed correctly prior to routing to Accounting/BU HR field representative.  Manage ABI related duties, especially as it relates to track activities and related support services (scheduling, reviewing time prior to department manager’s approval, assisting department employees with questions).  Collect vacation and sick forms, obtaining the proper approval, to send to Accounting.

  • Complete paperwork as needed for the departments, including but not limited to expense reports, vendor adds, check requests.  Prepare travel binders for jet dryer employees to track travel expenses and complete intercompany paperwork after the trip, if necessary.

  • Serve as the office manager for the operations building including maintaining inventory of office supplies, office machine repairs and conference room scheduling.

  • Maintain accurate and thorough records of general and preventative maintenance activities.

  • Responsible for managing the Web Now process for billing track rental contracts, including original invoice requests, billing adjustments and following up on past due payments.

  • Coordinate collection of event related requests for departments (i.e., golf carts, radios, tent weights, DOT barriers, etc.)  Manage the distribution and collection process for golf carts and radios.  Manage the event car rental process for the departments.

  • Coordinate the contractor check-in process during events.

  • Prepare and submit event related orders to other departments (i.e., beverages, meals, equipment, hotels).  Complete credential requests for departments. 

  • Maintain a strong working relationship with vendors and suppliers.

  • Assist co-workers with problems and provide assistance in finding solutions.

  • Respond to emergency situations as needed and/or assigned.

  • Other duties as deemed necessary or as directed.

Performance Measures

  • Increased efficiency and reduction of expenses in daily and event processes and procedures.

  • Complete, timely fulfillment of assigned duties.

  • Accuracy and attention to detail in work produced.

Qualifications

  • Bachelor’s Degree (B.A.) and/or 3-5 years of work experience in the outdoor entertainment/event production industry.

  • Must have an intermediate to advanced knowledge of Microsoft Office products, especially Excel and Word.
