Internships: Communications/Community Relations
Communications Intern - Chicagoland Speedway & Route 66 Raceway (Joliet, IL)

Position Purpose
During the five month internship (May 2015- September 2015), the Communications Intern will gain valuable experience and knowledge about public and community relations, live events and the motorsports industry while supporting the Communications team with all media and community outreach initiatives in the office and on-site at events.

Job Responsibilities
      In-Office Responsibilities:

  • Lead and develop community outreach initiatives
  • Organize and oversee donation requests   
  • Search the web thoroughly for CLS and Route 66 coverage
  • Track media clips with detailed excel document using Vocus
  • Update the approved media credential list
  • Write dynamic and informative press releases
  • Create media distribution lists
  • Assist with year-end recaps and event comparisons/breakdowns

     On-Site Event Responsibilities:

  • Search the web and local newspapers for articles
  • Compile media clippings and write the Daily News
  • Assist media with questions and/or inquiries
  • Assist with setting up interviews
  • Track media on-site and interviews throughout the week
  • Maintain the Media Center
  • Keep all results/ standings/ releases organized and accessible for media
  • Keep liability and photography waivers organized

If successful in executing the above responsibilities and demonstrates a knowledge of the company, events and working with media, will have the opportunity to pitch local media around the NASCAR and NHRA sanctioned events.

Route 66 Raceway Operations Manager - Chicagoland Speedway (Joliet, IL)





Position Purpose
Manage day to day operational activities by developing, implementing, and evaluating systems and processes for Route 66 Operations, which includes but is not limited to:

  • Event Schedule Development and Management
  • Competitor Event Operations

Responsibilities/Duties/Functions/Tasks
Wssential duties and responsibilities include, but are not limited to:

  • Work in coordination with facility leadership to create and manage the event schedule, focusing on the continued development of current events, and identifying, negotiating and securing future event opportunities.
  • Coordinate all on-site activities with sanctioning bodies and third party vendors including event operations, credentials, equipment credentials, vehicle passes and any other approval process for granting access to controlled areas, in coordination with Route 66 Event Operations Manager.
  • Coordinate, manage and evaluate participant parking process and procedures, implementing in-house staffing  based on specific event needs.
  • Create, implement and manage a season-ending evaluation of day-to-day operations of Route 66 Raceway.
  • Manage daily updates to Racer Hotline.
  • Review applications, interview and hire event staff, assign and direct work, evaluate performance, and address and resolve all staff issues.
  • Develop, implement and evaluate all training materials for Drag Staff operations.
  • Serve as an active member of the Chicagoland Speedway/Route 66 Raceway Event Planning Team, which is responsible for event preparation and evaluation during the race season, and the development, evaluation and adjustment of current policies, procedures and management of event operations to enhance guest experience.
  • Implement and maintain a real-time budget tracking process to improve accrual and forecasting, as well as controlling costs through more efficient planning and procedures.
  • Follow the concepts of the R.O.A.D.M.A.P. philosophy, and serve as a leader and set an example for all team members to follow.

Qualifications

  • Strong working knowledge of the sport of drag racing.
  • Strong working knowledge of NHRA Rules and Regulations.
  • Bachelor’s Degree preferred with 3-5 years of work experience in the motorsports management, or + 5 years drag racing experience..
  • Experience with accounts payable, payroll processing, financial reporting and budgeting.
  • Excellent communication and time management skills with friendly and professional demeanor.
  • Must be able to work in a team environment interacting with multiple departments.
  • Must be well organized with attention to detail.
  • Must possess a positive attitude, self-confidence, professionalism, integrity, motivation, and a very strong work ethic.

Ticket Operations Event Staff- Seasonal - Chicagoland Speedway (Joliet, IL)

Position Purpose

The Ticket Operations Event Staff will gain valuable experience and knowledge of the inner workings of the sports and motorsports industries, while supporting the event operations process at Chicagoland Speedway & Route 66 Raceway.

    • Handling camping registration and check-in throughout major event weekends
    • Answering questions and providing basic event information

Qualifications

  • Attention to detail and excellent customer service skills are required
  • Comfort to work in a fast paced and high energy environment.  Prior sales or box office experience preferred
  • The ability to respond quickly, calmly, and professionally to event-related problems and emergencies
  • Enthusiastic about learning about the sports industry
  • High school or equivalent education required, pursuing a college degree preferred

Ticket Operations Manager - Chicagoland Speedway (Joliet, IL)

Position Purpose
The Ticket Operations Manager is responsible for following all finance policies and procedures as it pertains to admissions, both advance and race day admissions.  The Ticket Operations Manager is also responsible for ensuring availability of event tickets, accuracy of order fulfillment and ensuring a positive customer purchasing experience.

Job Responsibilities

  • Build and maintain events on the Fan Tracker ticketing system.
  • Act as primary point of contact and lead trainer for the ISC Contact Center sales representatives as it applies to Chicagoland Speedway and Route 66 Raceway ticketed events.
  • In conjunction with Director of Ticket Ticketing, produce all admissions materials including but not limited to:  grandstand tickets, general admission tickets, RV parking and RV admissions, suites and hospitality.
  • Oversee walk-in ticket sales at the Administrative Office as well as process ticket sales by phone
  • Responsible for all printing and/or mailing of invoices, confirmations, tickets and parking passes.
  • Provide assistance to Seasonal Events Supervisor in the hiring, training, managing and supervision of ticket box office and gate operations staff for approximately 50 event dates at Chicagoland Speedway and Route 66 Raceway.
  • Maintain equipment utilized in the ticket box office and by the gate operations staff for all Chicagoland Speedway and Route 66 events including, but not limited to: Bar Code Scanners, computer equipment, credit card swipes, thermal ticket printers & KIS machines.
  • Review and process daily balancing, deposits and reporting of daily ticket office sales.
  • Make Director of Ticketing aware of ways to increase efficiency and reduce expenses in daily processes and procedures.
  • Process any necessary complimentary ticket requests and daily refunds.
  • Assist with outbound/renewal ticket sales call campaigns
  • Provide periodic ticket sales reports to the company’s departments to assist in event planning and promotion.
  • In conjunction with Director of Ticketing, coordinate pre- and post-event ticket auditing procedures and documentation
  • Assist Director of Ticketing in establishing policies, procedures and standards for team members as it relates to ticket operations.
  • Maintain accurate historical files on all information, documents and mailings sent to Founder PASS customers and Ticket Holders.
  • Assist Director of Ticketing in the budgeting, financial reporting and event planning processes by providing analytical data.
  • Fulfill all functions within established budgets.
  • Present outstanding customer service to all patrons of Chicagoland Speedway and Route 66 Raceway
  • Other duties as deemed necessary or as directed.

Qualifications

  • Bachelor’s Degree in Business, Communications or related field; minimum 2 years experience in ticketing  for a sports or entertainment property
